Job Purpose 

The Learning Support Team Administrator ensures the accurate and efficient administration of learner data, compliance processes, and supports with systems management. This role supports the Learning Support Manager and the rest of the team in maintaining high standards of operational and regulatory compliance across all aspects of Learning Support and Functional Skills provision. 

Key Responsibilities: 

Administration: 

  • Accurately register learners for Functional Skills assessments through relevant awarding organisation platforms. 
  • Book tests, track results, and cascade information to the appropriate parties. 
  • Monitor the publication of e-certificates, ensure these are added to the Bud system, and notify the Management Information Systems (MIS) team to close down Functional Skills aims. 
  • Manage data entry and maintenance across systems, including BKSB, Cognassist, and awarding organisation platforms. 
  • Conduct audits to ensure compliance with Learning Support Assessments and visits. 
  • Provide regular compliance updates to the Learning Support Manager. 

Data Management: 

  • Support with maintain accurate records of learner progress, interventions, and outcomes. 
  • Support data analysis for monitoring key performance indicators (KPIs). 
  • Ensure data integrity across all platforms and adhere to GDPR regulations. 

Operational Support: 

  • Assist with day-to-day administrative tasks as requested by the Learning Support Manager.
  • Collaborate with team members to ensure the timely completion of compliance and reporting tasks.
  • Provide support for ad hoc projects related to business operations. 


Key Performance Indicators: 

Operational Excellence: 

  • Timely and accurate learner registrations and test bookings. 
  • Up-to-date and compliant learner data across systems. 
  • Successful completion of audits with minimal errors or omissions. 

Compliance and Quality: 

  • Consistent adherence to ESFA and awarding organisation guidelines.
  • Effective support in maintaining compliance standards during internal and external audits. 
Person Specification

Essential
  • Strong administrative skills with a proven ability to manage high volumes of data accurately and efficiently. 
  • Proficiency in using multiple systems and platforms simultaneously for data input, tracking, and reporting. 
  • Exceptional organisational skills, with the ability to prioritise tasks and meet strict deadlines. 
  • High level of attention to detail to ensure compliance and accuracy across all processes. 
  • Strong written and verbal communication skills, enabling clear and professional correspondence. 
  • Proficiency in Microsoft Office applications, including Excel for data analysis and reporting. 
  • A proactive attitude, with the ability to identify and resolve issues independently. 
  • Ability to work collaboratively within a team while managing individual responsibilities effectively. 
  • Self-sufficient and highly motivated, capable of working independently in a remote environment. 
Desirable
  • Experience working in an education, training, or compliance-based administrative role. 
  • Familiarity with BKSB, Cognassist, and awarding organisation systems. 
  • Knowledge of ESFA funding rules and regulatory compliance requirements. 
  • Experience with managing e-certificates, including tracking and integrating them into systems such as Bud. 
  • Understanding of GDPR regulations and data protection best practices. 
  • Background in handling audit preparation and supporting external or internal compliance checks. 
  • Experience using Management Information Systems (MIS) to manage learner data and outcomes.
